Magnaflow

This position is seated at the front desk of MagnaFlow’s Corporate Office and is the primary customer facing role for phone calls and visitors. In addition to those duties, administrative responsibilities will include:

Responsibilities:

Reception/Office Management

Screen and route calls promptly, accurately and in a professional manner. Organize and distribute mail, packages and Faxes.
Work closely with security to follow visitor policy. Maintain a professional operation and safety standards when receiving visitors
Develop, update, and execute front desk procedures and train backup receptionists.
Contact and follow-up with the maintenance dept. to address problems in the HQ facility.
Purchase, stock and maintain inventories of all office supplies.
Assist with obtaining Insurance certificates as needed.
Maintain company vehicle registrations
Add employees to DMV Employer Pull Notice Program
Work with Finance on vehicle purchasing and other vehicle related issues
Facilitate DOT physicals and FMCSA random testing
Order lunches when requested for team meetings.
Order flowers when requested for employees or customers.
People & Culture duties

Print and program all access cards for employees, vendors and visitors as directed.
Manage all badge access and troubleshoot any badge related issues
Work with JMG security on security /badge related issues.
Program new hires for Fastenal access where needed.
Track employee forms for various events/reasons and upload employee documents to HRIS as needed.
Create POs , set up new vendors, and communicate with accounting and vendors on payments when needed.
Reconcile and approve invoices for uniforms, IT purchases, Unifirst.
Update/provide employee name plates for desks.
Organize and maintain supply/swag room.
Place orders with P & C vendors as needed.
Coordinate orders with swag vendor and communicate with PCPs as needed.
Create tickets for marketing or IT requests when requested.
Coordinate monthly newsletter and work with team members to generate content.
Create flyers for events as needed.
Program coordination of UKG Learning and Education Reimbursement.
Travel Management

Set up new employees, guest accounts and group accounts into the Egencia system.
Book flights, hotels and cars when required.
Cancel and change flights as requested.
Schedule flights/hotels for interview candidates in Egencia.
Communicate with Egencia’s account representatives to obtain refunds and report complaints.
What you need:

Microsoft Office proficient (Excel, Word, PowerPoint)
Experience on phone reception systems
Experience in public facing role
Well organized
